Why an Event "Day-Of" Coordinator?

Have you ever been to an event and it seems like the right things were there but somehow your experience wasn’t that great? The best décor creating the perfect ambience, the tastiest food that you have had in a long while and music to surely keep your feet moving. But something just wasn’t right.


Coordination is the thread that brings all the elements of your event together. On the day of the event, it’s THE most important thing you need. You can have the best plans, if they don’t come together right, it will all be in vain.


Who ensures the venue is set up just as planned?

Who keeps your programme running on time?

Who ensures the bar is always stocked?

Who monitors that the vendors booked do/provide as contracted?

OMG! There are dirty plates and glasses to be cleared. Who’s responsible for this?

You’ve planned it all and invited your specially selected guest, but you can’t finish a conversation because someone just told you the bar has no more ice (true story).


A coordinator answers positively to all these questions/problems.


If the event is being planned by a group/team, appoint someone from your planning team to take charge of these things on the day. If the planning team wants to enjoy the event (and understandably so), invest in a coordinator for the day and trust them to get the job done. We promise it will be money well spent.


It’s the details that matter on the day. Attention to those details, contributes to your guests' experience and it’s the role of the coordinator to attend to those details, allowing the host(s) to socialize and enjoy the event itself!
